Synthetic interviews

These are not real people: 8 AI personas, each built from real discussions (links below), interviewed by The Mom Test rules. A rehearsal before real interviews — it narrows the segment and gives offer wording, but does not prove anyone will pay. It does not affect the evidence level.

Verdict: narrow the segment · same pain described by 6/8

The pain point of 'collecting source documents and identifying missing items' was shared by 6 out of 8 interviewees. Three have actual costs (staff, manual spreadsheets, failed paid attempts). High purchase intent exists only in firms with 20–50 clients where document collection happens via messengers and a dedicated person is employed. Solo practitioners using Elba/Moyo Delo or Xero+Dext are not buyers; cheap labor (interns/outsourcing) undermines the business case. A skeptic highlights the main risk: clients often revert to email after previous portal attempts. The US market is saturated (ClientClose, FolioDoc, etc.), so the focus is on the Russian-speaking niche using Telegram/WhatsApp with 1C integration. These are synthetic responses; the conclusion is a hypothesis for real interviews, not proof.

Most promising segment: Russian accounting outsourcing firms with 20–50 clients (IP/OOO on simplified tax system) that receive documents via Telegram/WhatsApp, use 1C for accounting, and employ 1–2 staff members for document processing at 70–150k RUB/month.

Customer words for the offer: «This is what I do manually», «To make it work in Telegram, they must live in Telegram», «If it saves a third of my two employees' work, I'll pay», «It must be easier for the client than just sending to chat», «Everything must go into 1C», «A single screen showing 'who hasn't submitted what' instead of an Excel sheet»

Price anchor: Current costs: document processing staff 70–150k RUB/month (hh.ru data); 1C+EDO ~25–35k RUB; previous portal cost ~5k RUB/month. Price hypothesis: 3–10k RUB/month per firm, tied to 'saved employee time'. ClientClose/FolioDoc/TaxDome pricing not verified; Tarkle's $500/month is revenue, not price.

Objections:

  • Clients will revert to email/chat; previous portals failed to stick
  • Clients must not install anything: link without login or Telegram bot required
  • Integration with 1C and EDO is mandatory
  • Built-in features of Elba/Moyo Delo/Xero suffice for small clients
  • Security and data storage compliance (152-FZ, GDPR)
  • Existing competition (ClientClose, ChaseDocs, FolioDoc)

What real interviews must check:

  • Show me the screen/spreadsheet where you track who hasn't submitted what right now.
  • How many hours per week do you and your staff spend on reminders and searching for missing documents? Measure it for last month.
  • Have you ever paid for a client portal/bot, and why did you stop?
  • What happened when you last asked a client to use something new? How many were still using it after a month?
  • What is the actual percentage breakdown of document collection channels: Telegram, WhatsApp, email, EDO, paper?
  • Are you willing to provide 5 real clients for a pilot and pay for it? What amount and timeframe?

source 1 source 2 source 3

transcript · would try

Dimitris Charalambous —

source 1

transcript · maybe

source 1

transcript · would not

source 1 source 2 source 3

transcript · would not

source 1

transcript · would not

source 1 source 2 source 3

transcript · would try

Stress test

Editor's pick medium confidence High demand for bookkeeping automation. Opportunity for a service handling primary documents via Telegram/WhatsApp with 1C integration, competing with Kontur, Moy Delo, and Elba.

Wedge: We are automating the collection of monthly accounting documents for heads of accounting firms at a time when they are scaling, because they are currently forced to spend a lot of time manually collecting and tracking documents through disparate channels.

Drop it if: If clients of accounting firms categorically refuse to use a new system for submitting documents. If existing CRM or ERP systems for accounting already offer similar functionality that is easily integrated.

The idea is checked against a 14-point checklist: clarity, reusability across customers, sales potential. Every item is filled in with a factual finding, and the final verdict is computed by formula — identically for every idea.

Problem in one line

Who pays

What the evidence shows

How many customers and how much money For business

46 000 potential customers
$34 500 revenue ceiling
460 realistic paying customers
134 customers for $10k/mo
$75 Realistic price

Where the number comes from:

The ceiling is the lower of two limits: what the market gives up (1% of the segment at a realistic capture rate) and how many customers a crew of this size can actually serve. Ideas with a ceiling below $2000 per month are rejected. The "customers for $10000" counter shows how many paying customers it takes to reach that figure.

Who is needed to build it 1 dev, 1-2 months

8weeks for 1 dev with AI

There are no roles here that AI cannot take over — one person can carry this project.

The timeline assumes an AI assistant: it covers code, integrations, UI, copy, docs, tests and first-line support, so a designer, a frontend developer and a copywriter do not count as people here. Only what AI cannot replace counts: long-cycle sales, on-call and SLA, licensed expertise, and the physical world — hardware, logistics, suppliers.

Domain knowledge One-time insider

The rules are nowhere written down in full. One session with a practitioner is enough; after that they are the same for everyone.

Where the rules are written: The list of required documents and deadlines are known to accountants but not centrally documented.

What you must know about someone else's business to write the spec at all: which fields, which rules, what counts as an error. Technical difficulty does not count — the reader is the developer.

Clarity 4/4

  • Concrete process high confidence

  • Measurable outcome high confidence

  • One-line pitch high confidence

Reusability 3/4

  • Many similar customers high confidence

  • Config, not custom work high confidence

  • Recurring workflow high confidence

Sales potential 6/6

  • Budget holder exists high confidence

  • Pain already costs money high confidence

  • Buying trigger high confidence

  • Cheap access to customers high confidence

  • Recurring value high confidence

How do small CA firms manage client follow-ups for GST & compliance?

r/Accounting · +1 · source

I’ve been curious about something operational in CA firms. For firms handling 200–500 clients: * How do you track who has submitted GST data? * Is it mostly Excel? * WhatsApp reminders? * Manual follow-up by articles? I’ve heard from a couple of people that chasing clients for documents takes a surprising amount of time every month. But I’m not sure if that’s actually a widespread issue or just specific firms. Would love to understand: * Is client follow-up really a headache? * Or does existing workflow (Excel + staff) work fine? * What’s the most annoying part of compliance season operationally? Not promoting anything — just genuinely curious about workflow practices.

Solutions for monthly client document and task tracking?

I work at a small accounting firm and I feel like we've hit a bottleneck when it comes to the monthly bookkeeping side of our practice. There's about 2 dozen clients that send us monthly financial statements (bank/credit card/loan statements, payroll registers, etc.) We process and reconcile everything, and send them monthly/quarterly compilations. However, we've been falling behind with some clients who don't get their documents to us on time, or those documents get buried in a string of emails. On top of this, we don't utilize our project management software (Asana) like we should to stay on top of deadlines since they can vary depending on when clients get us their documents. Ideally, I'm looking for a solution that helps track receipt of client documents along with their accompanying…

The "sort by no attachment" habit is the most underrated line in your post, honestly - that's the part that actually catches problems, the folder structure is just where things land after the fact. A folder hierarchy alone doesn't prevent missing documents, it just makes them easier to find once they've been uploaded. The distinction Funny-Muscle-7123 is circling is real but I'd frame it differently: it's not "folders are outdated," it's that the missing-document check needs to happen automatically and get pushed to the client, not require you to go looking. If you're already running the no-attachment sort weekly, the next step that actually reduces chasing is turning that into a standing digest (even a simple recurring email listing the specific transactions still missing support) ins…

The email burial is the real problem, not Asana. Once documents live in a thread you've already lost the tracking, doesn't matter how good the task board is. I've been using ClientClose App for this. It's really helpful because clients get an upload link with no login, it nags them on a schedule so I'm not the one sending the fifth follow up, and there's one dashboard showing who's complete and who's still missing stuff. Only heads up, it's built around the document chase, so you should keep Asana for the actual compilation workflow.

The bottleneck isn't document storage or a dashboard, it's that no single system knows whether a client's documents have arrived and what that triggers next. Email, Dropbox, Asana and CCH each hold one piece of the state, and someone has to manually reconcile them. A practical approach is to make Asana the system of record. For each client and month, create a task with the expected deliverable list, then use an Asana form or an email alias that creates the task and sets a due date when documents arrive. A custom field with values like Not received, Partial, Complete, In progress, and Ready gives you the overview you described. This works with the tools you already use. The limit is that a form can create the task, but matching partial receipts to the right client and month, espec…

I built a platform to manage and track client document requests in one place, where you: * Create Customers * create a request (e.g. VAT Q3) * assign multiple clients * each client gets a **unique upload link** (no login needed) * see exactly **who submitted and view their documents per request** * get **notifications when documents are uploaded** * send **customized** **smart reminders(emails)** (eg : 3 days before the due date)to clients who haven’t submitted yet . * have a **clear dashboard showing overall progress and missing documents at a glance** I’m looking for a few acco…

Hey HN, I built FolioDoc ( https://foliodoc.com ) to solve a problem I kept hearing about from accountants and HR people — spending hours chasing clients for documents over email. You create a checklist, add recipients with a deadline, and they get a magic link to a simple upload portal. No account needed on their end. Auto-reminders escalate as the deadline approaches. A few things I focused on: No recipient login — SHA-256 hashed magic links, raw tokens never stored. Recipients just click and upload. Virus scanning — ClamAV runs on every upload. Infected files are rejected and the recipient is asked to re-upload. Privacy — EU hosted (Germany), GDPR compliant, DPA included. No tracking in the app or portal. Security — TLS everywhere, 5-layer file validation (type, extension, magic bytes, …

chase clients for missing receipts and documents: wasting hours on manual follow-ups despite using accounting software

Hi everyone, Hope it's okay to ask this here. I'm researching how bookkeeping firms manage client communication around month-end and quarter-end, and I'd love to learn from people actually doing the work. If your clients are already connected to Xero or QuickBooks, what does your workflow look like when you're still waiting on receipts, invoices, or explanations for transactions? Do you use a specific tool to keep track of what's outstanding, or is it mostly emails, phone calls, WhatsApp, spreadsheets, reminders, etc.? I'm especially curious about: • How you keep track of who still owes what • How much follow-up is usually involved • Whether there's a tool you genuinely love for this, or whether it's still mostly manual I've been reading that many firms still spend hours chasing…

Hey guys, im a solo software dev looking to understand the administrative side of bookkeeping a bit better. I’ve heard from a few industry friends that getting clients to send their monthly bank statements and receipts on time is a major bottleneck every month. Actually, I’m curious about how you manage this in your own pratices: Do you just manually email/text them until they respond? Do you use a specific workflow or tool that actually automates this? Or is it just an accepted part of the job that you have to chase them? Just trying to learn more about the day-to-day friction points here. Appreciate any feedback you can share!

collect monthly documents from clients: manual tracking and chasing clients for documents is a time drain

Talking to a lot of bookkeepers and accounting professionals lately and the same pattern keeps coming up. Monthly reminder goes out. Some clients upload everything straight away. Others need two or three follow-ups. A handful go completely quiet until you chase them personally. Meanwhile you are manually checking folders, marking off spreadsheets, and sending the same request for the third time. Most people manage it through some combination of shared folders, email reminders, and a tracker. It works but when you have 20 or 30 clients it becomes a serious time drain every single month. Curious what has actually worked for people here. Is it mostly about setting clear expectations with clients upfront or have you found tools or systems that take the manual work out of the follow-up side …
